Privacy Policy for the Official Website of the Japan Pavilion and Garden

The Secretariat of the Japan Pavilion and Garden for the International Horticultural Expo 2027 (hereinafter referred to as the “Secretariat”) complies with the Act on the Protection of Personal Information and all other laws, regulations, and guidelines applicable to the handling of personal information.

In order to appropriately handle users’ personal information, the Secretariat has established this Privacy Policy (hereinafter referred to as the “Policy”) regarding the handling of personal information in the services provided by the Secretariat (hereinafter referred to as the “Services”).

This Policy applies to all handling of personal information in the Services. However, when a user requests the provision of an individual service and separate provisions apply to the handling of personal information in that service, such provisions shall apply to the handling of personal information in that service.

Unless otherwise specified in this Policy, the definitions of terms used herein shall follow the definitions set forth in the Act on the Protection of Personal Information.

1. Personal Information Obtained by the Secretariat and Purpose of Use

In providing the Services, the Secretariat obtains information, including personal information, by lawful and appropriate means to the extent necessary for the following purposes of use, and uses such information within the scope of those purposes.

The Secretariat obtains the following information through the official website of the Japan Pavilion and Garden:

  • Information related to the user’s usage environment, such as operating system and device identification number
  • Information related to the user, such as interests and preferences
  • Cookie information
  • Other information obtained through the Services

Purpose of Use

The Secretariat uses the personal information obtained for the following purposes:

  • To respond to inquiries and opinions
  • To respond to acts that violate the Terms of Use or other rules
  • To improve the Services, develop new services, and consider and implement campaign measures
  • To create and analyze statistical data
  • For other purposes incidental to the above purposes of use

The official website of the Japan Pavilion and Garden uses access analysis services, such as Google Analytics, and social media integration services in order to understand how the Services are used. In some cases, cookie information of users of the Services may be provided to the providers of such services.

2. Provision of Personal Information to Third Parties

  1. The Secretariat may provide users’ personal information to third parties, regardless of whether user consent has been obtained, in the following cases, in accordance with laws and regulations:
    • When required by law
    • When necessary for the protection of a person’s life, body, or property and it is difficult to obtain the consent of the user
    • When particularly necessary for improving public health or promoting the sound development of children and it is difficult to obtain the consent of the user
    • When it is necessary to cooperate with a national government agency, local government, or a person entrusted by either of them in carrying out affairs prescribed by law, and obtaining the consent of the user may impede the execution of such affairs
  2. Except in the cases set forth in the preceding paragraph, the Secretariat shall not provide personal information to third parties, with the exception of the following cases:
    • When the consent of the user has been obtained
    • When all or part of the handling of personal information is entrusted to a third party within the scope necessary to achieve the purposes of use
    • When personal information is provided in connection with the succession of business due to a merger or other reason
  3. Except as permitted by law, when the Secretariat provides personal information to a third party, the Secretariat shall prepare and retain records concerning such third-party provision.

3. Provision of Personal Information to Third Parties Located in Foreign Countries

The Secretariat may provide personal information to third parties located in foreign countries in the following cases:

  • When the consent of the user has been obtained
  • When all or part of the handling of personal information is entrusted to a third party located in a foreign country within the scope necessary to achieve the purposes of use
  • When personal information is provided to a third party located in a foreign country in connection with the succession of business due to a merger or other reason
  • When otherwise permitted by law

4. Security Management of Personal Information

The Secretariat shall keep personal information accurate and up to date, and shall take necessary and appropriate measures to prevent leakage, loss, or damage of personal information and to otherwise ensure the secure management of personal information.

When the Secretariat entrusts the handling of personal information to an external contractor, it shall exercise appropriate supervision over the contractor to ensure the secure management of personal information.

5. Joint Use of Personal Information

The Secretariat shall jointly use personal information as follows, in accordance with the Act on the Protection of Personal Information.

Related organizations, companies, and other entities participating in the Government Exhibition Area / Japan Pavilion and Garden of the International Horticultural Expo 2027.

To achieve the purposes of use specified in Article 1 of this Policy.

6. Disclosure, Correction, Addition, Deletion, etc. of Personal Information

In accordance with the Act on the Protection of Personal Information, when requested by a user, the Secretariat shall respond to requests for disclosure, correction, addition or deletion, suspension of use, suspension of provision to third parties, and other procedures concerning personal information (hereinafter referred to as “Disclosure, etc.”).

However, the Secretariat may be unable to respond to a request for Disclosure, etc. if doing so may significantly hinder the proper execution of the Secretariat’s operations or may violate laws and regulations.

7. Continuous Improvement of the Privacy Policy

The Secretariat shall review the status of its operations concerning the handling of personal information as appropriate and strive to improve such operations.

The content of this Policy may be changed due to amendments to relevant laws and regulations or for other reasons.

Any changes to this Policy shall take effect when posted on the official website of the Japan Pavilion and Garden.
